I have a question for you.
If we export our parts database to excel amend & import it back into Capital BM selecting replace existing file will we lose the notes attached to that part?
If so is there a better way of doing it that keeps the notes?

As long as you export the product code and import the product code back in from the spreadsheet there should be no problem with merging existing records so you won't loose your notes or other linked attachments.

There are a couple of special cases however -

(1)

If you run more than one location per stock item be sure to export and re-import its location as well.

(2)

You want to change the product codes in the spreadsheet. This complicates things considerably. If you had to do this, you could potentially load the revised code into a user field, reimport the stock file, then use the Data Navigator tool to swap the codes around. You might prefer to obtain some professional consulting expertise if you need to do that.
