    Using departmental Control Sets

    by coldrick » Tue Mar 25, 2008 11:38 am

    Having a problem with departmental control sets in evaluating Enterprise version.

    We set up two control sets and link them to departments A and B, and we set the sales and purchase form numbers for those two departments to be prefixed by "A" and "B" respectively.

    We then create a user "AUSER" and "BUSER" and assign them to the respective departments "A" and "B".

    Now if we log on as "A" or "B" the invoices and purchases orders are prefixed correctly. But when "A" (or B) is already in the transaction screen and their transaction number is displayed, and the other user comes along and uses FILE|Log On from within the transaction screen, the first departments transaction number remains in place and the control set for the new user is actually changed to that of the other user.

    Normally, because you using some of the more complex and advanced features of the system, a consultant would provide expert assistance here to help you set this up correctly.

    One thing you should do when setting up your environment in this way is to add the LimitLogIn statement under the [System] area inside the file CAPSYS.INI found in your \CAPITAL folder:

    [System]
    LimitLogIn=Yes

    This will prevent users from logging in to the system, except from the front menu.

    Another area where problems can arise is when you create a new user, but forget to assign that user to a department. This can result in the user acquiring transaction sequences from either department. The correct way to ensure that this doesn't happen is to make your first department 'Z' which will act as a 'catchment' and then ensure that Z users do not have any access to stock locations. This can avoid problems months or years later when new users are added.

    Yes, that works to stop them logging in from the transactions screen.

    I wouldn't really consider assigning transaction sequences and changing a couple of lines in an INI file to be worthy of paying a consultant. When we purchase the program do we get some more detailed instructions with regards to the various .mac and .ini possibilities?

    Also we have spent some time mapping the various tables to help with our data imports. Is there any basic table mapping supplied when we purchase the product?

    There is some extra technical information that is available to resellers and consultants. If you feel you are at a technical level where you can make use of such information I don't believe there would be a problem allowing you access to it.

    Hi, could we please have access to the above information? We bought the program 2 days ago and we sent an e-mail yesterday requesting access to the files, but haven't heard anything back yet.
